What is a role in Simployer HRM?
A role in Simployer HRM provides extended permissions beyond standard access:
- Managers automatically have access to the data of employees who are registered as reporting to them in Simployer
- Employees have access to their own data
- Roles are only required when someone needs additional permissions or access
Who can assign roles in Simployer HRM?
You must have the System Administrator or Personal Administrator role to assign roles to other people.
You can view your own roles under About Me → Settings → Roles.
As a system administrator, you can:
- Assign, remove, and change roles for yourself and others
- Customize Simployer HRM settings under System Settings → Administration
Simployer requires at least one system administrator per customer. The system administrator must configure and maintain Simployer HRM for the organization, including creating, changing, and deleting data when necessary.
In accordance with the data processing agreement, Simployer AS does not change or delete customer data.
How do I assign a role in Simployer HRM?
- Search for the person in Simployer HRM.
- Click Settings → Roles.
- Click the circle under Actions, and select Role Overview.
- Click + Add role.
- Select a role from the drop-down menu. You can search in the field or browse the available roles.
- Select the level where the role should apply, and save.
Roles for Simployer Portal (Core) are assigned directly in Simployer Portal. Roles for other applications must be assigned in the relevant application.
The exception is the System Administrator role, which you can assign from Simployer Portal.
How do roles relate to each other in Simployer HRM?
- A module can have several roles that cover different needs
- Some roles include other roles and therefore provide broader access. For example, the System Administrator role includes the Personal Administrator role
- You can assign only the Personal Administrator role when someone needs full access to personnel information for a limited area of the organization without full system administrator access
- The role drop-down menu only displays roles relevant to your combination of modules
Contact customer support if you are unsure which role is appropriate for a specific purpose.
How do I review roles in Simployer HRM?
As a system administrator, you should regularly check that the correct people have the appropriate extended permissions in Simployer. Use the role report to review these permissions:
- Go to Reports → My Organization.
- Select the relevant organizational unit as the basis for the report, such as the top-level unit with its subunits.
- Drag Role above Person to view everyone with a specific role, such as all system administrators.
- Click View Report.
