Learn what to prepare, submit, and maintain during the implementation of Simployer HRM.
Before you can start using Simployer, your organization must complete some preparations.
Start the Simployer implementation with a kickoff and consultant contact
- An implementation consultant contacts your organization and holds a kickoff meeting. During the meeting, you receive general information about the delivery and the modules your organization has purchased.
- You receive an email with a link to set a password for your user account so that you can log in to Simployer HRM.
Submit personnel data in Simployer HRM before the first workshop
Before the first workshop with the implementation consultant, your organization must register basic personnel and employment information in Simployer HRM for everyone who works in the organization.
- The implementation consultant sends you a spreadsheet for the personnel data. The spreadsheet can also be downloaded.
- Complete the spreadsheet with personnel and employment data for all current employees. The data is usually retrieved from your payroll or time-tracking system.
- Make sure the data is accurate and of high quality. The spreadsheet must contain one row per person, including the legal entity that employs the person.
- Upload the completed spreadsheet in Simployer HRM under About Me → My Documents. This avoids sending large amounts of personal data by email.
The implementation consultant imports the data into Simployer HRM, but your organization is responsible for providing the data.
Attend workshops and understand data responsibilities in Simployer HRM
The implementation consultant holds workshops with your organization and, where relevant, the project team. During the workshops, you configure Simployer HRM and review the system’s functionality. This gives you, as a system administrator, a solid understanding of the system’s structure and operation.
Under the Data Processing Agreement, Simployer is the data processor, while the customer is the data controller. Your organization is therefore responsible for updating and maintaining the data in Simployer HRM. The implementation consultant explains how to do this and which best practices to follow.
