Protect Documents

Document protection is used to control who can edit or access a document. You can choose different protection levels depending on how much access users should have.


Protect a document

Locate the document you want to protect.

Click the three-dot menu and select Protect.

Choose the desired protection level and click Protect and add notifications.


Protection levels

You can choose between three protection levels.

No protection

Users with the appropriate permissions can view, download, edit, and delete the document.

Write protection

The document can still be previewed and downloaded, but it cannot be edited.

This option is suitable for documents that are complete and should not be modified.

Read protection

The document cannot be previewed, downloaded, or edited.

Use this option when the document should only be available to users with the appropriate permissions.


Document access

When you select a protection level, the access overview is automatically updated to show which roles:

  • can view and edit the document
  • can view the document
  • do not have access to the document

This makes it easy to verify access before saving the protection settings.


Protection Owner

The user who protects the document is automatically assigned as the Protection Owner.

As long as this user has an active account in Simployer Classic, only the Protection Owner can remove the protection.

If the Protection Owner is deactivated, a user with the Document Administrator role can remove the protection.


Notifications

You can add users who should be notified if the protection is removed.

This provides better control over when protected documents become available again.

Tip: Document protection is designed to provide better control of sensitive documents. Use this feature when documents should not be modified or made available without someone actively removing the protection.
