Documents on Employee Profiles

Documents can be stored directly on an employee's profile. This makes it easy to keep documentation related to individual employees, such as training certificates, certifications, or other personnel documents.


Add documents

Open the employee's profile and select the Documents tab.

Click the + button at the top of the page to add a new document.

Select the appropriate document category, upload the document, and save your changes.

The document will then be available to users who have access to the selected document category.


Manager Documents

When adding a document, you can also choose the system-defined document category Manager Documents.

Documents stored in this category are only available to:

  • The employee's manager
  • Users with the Document Administrator role

The employee cannot view documents stored in the Manager Documents category.


Organize documents

The document list can be sorted by several columns to make it easier to find the document you are looking for.

Click the arrow next to a column heading to sort the list.

For example, you can sort by:

  • Document category
  • Document name
  • Date
  • Other available columns

The same sorting principle applies to all columns that display sorting arrows.


Available actions

Click the three-dot menu to the right of a document to display the available actions.

Available actions include:

  • Preview the document
  • Download the document
  • Edit document information
  • Delete the document
  • Protect the document
  • Share the document
  • Start electronic signing (if the feature is enabled)
