How do I delete and anonymize personal data for deactivated employees?

Use the Simployer privacy client to permanently delete selected personal data for deactivated employees.

Simployer has a built-in privacy client that allows you to delete selected personal data for deactivated employees. This helps your organization comply with the GDPR.


Navigation: Administration → User Management → Deletion of user data


Note

One source lists the navigation path as Manage → Administration → User Management → Deletion of user data. Check which path applies to your environment if you cannot find the menu item directly.


What do I need before using the Simployer privacy client?

  • You must have the Privacy Administrator role. This role allows you to delete personal data for deactivated people associated with your level of the organization and the levels below it. We recommend assigning this role to only 1–2 people in HR.
  • The employee must be deactivated in Simployer before you can delete personal data through the privacy client. To update or remove data for active employees, edit the employee’s profile directly in Simployer.
  • Export any required historical information before deleting the data.

Important

The privacy client deletes the selected personal data permanently.


What data does the Simployer privacy client delete?

The Simployer privacy client deletes personal data that the organization normally no longer has a reason to retain after an employee has left:

  • Personal details, except for name, national identity number, legal gender, and nationality
  • Notes
  • Addresses
  • Email addresses
  • Phone numbers
  • Registered children
  • Next of kin
  • Sizes and values
  • Sick leave follow-up processes, including uploaded attachments
  • Medical certificates uploaded to sick leave periods
  • Documents uploaded by the deactivated employee


What data does the Simployer privacy client not delete?

The Simployer privacy client retains some data because the organization may need it for statistical reporting, statutory tasks, or historical records of who worked for the organization and what they did:

  • Name, national identity number, legal gender, and nationality
  • Employment history
  • Sick leave periods
  • Time off and leave
  • Holiday periods
  • Travel expense claims
  • Expense reports
  • Documents uploaded by someone other than the deactivated employee
