E-signature - creating and applying a contract template
Through our e-signature integration with Dropbox sign, you are able to setup contract templates in Recruitment which can be sent for completion and e-signature by a candidate, saving you time setting up an individual document each time or using a separate e-signature provider.
Creating a contract template
To create a template, head to Settings - Recruitment - Contract Templates - Create Template. Here you can view, edit and delete your existing contract templates, and create new ones.
Upload the contract document you want to use for your template, and add the signer roles you would like for that contract, then proceed to add the required fields, as you would on other e-signature platforms, ensuring that each is correctly assigned to the required signer role.
The auto-fill text box options include:
- Signature
- Initials
- Date signed
- Full name
- Email address
- Company name
- Title
The additional field options include:
- Textbox
- Tickbox
- Drop-down
- Radio group
Once complete, click Save and you're done!
Using your contract template
Once you have your template(s) setup, you can send them to a candidate for completion. To do this, head to the candidate's Profile - Create Contract - Use a template.
You can then select your relevant template, give it a title, choose your signers and customise a message.
Multiple document signing
As part of your hiring process, contracts may not be the only document you require a new employee to sign. Within Recruitment, you can share multiple documents with candidates to sign electronically, and all those documents can be synced with the HR platform when the candidate is hired (depending on the specifics of the integration). Sending additional can be done from the candidate profile by selecting Other – Send e-sign request
Sending a document for signature
Head to the profile of the candidate you would like to send the document to. Then, click Other - Send E-Sign Request, and choose whether you would like to upload a document which will simply be signed, or use a template which allows more customisation. (If using a template, this has to be created prior to this point).
You can then fill in the details of the signers and customise the email message.
