Why didn’t someone receive a signing email in Simployer One?

An employee, candidate or other participant may not get an expected email from a Simployer One signing process. The most common reasons are:

  • Wrong role: The person wasn’t added to the role that gets that email. For example, only signing parties get the emails asking them to sign.
  • Wrong or missing email address: The email address on the employee profile or candidate card is wrong or missing. A candidate without an email address can’t receive signing invitations.
  • Spam or junk folder: The email was filtered as spam or junk.
  • Not their turn yet: A signing party in a later step gets the A document is ready for you to sign email only when their signing step starts, after a reviewer has approved the document and everyone in the previous step has signed.
  • Notifications turned off: If Don’t notify for signing progress was selected, the creator and signing parties don’t get the [Name] has signed email.
  • Not sent: The signing process was saved as a draft and never sent.

How do I fix a missing signing email in Simployer One?

  1. Check that the person has the correct role in the signing process. Open the signing process from Documents → Signing processes to see its signing parties, reviewer and observers.
  2. Check that the email address on the person’s employee profile or candidate card is correct.
  3. Ask the person to check their Spam or Junk folder.
  4. Check the Status column under Documents → Signing processes to confirm that the signing process has been sent and has reached the step where the person should get the email.
  5. Resend the invitation: open the three-dot menu (Actions) for the signing process and select Resend link. For more information, see: How do I track and manage signing processes in Simployer One?
  6. If the problem continues, contact Simployer Support.

A signing party with a Simployer One account can also open the document from Documents → Signing processes. For more information, see: How do I sign a document in Simployer One?

Important

Signing invitations can’t be replaced by sharing the document manually.
