Salary Review Help Guide
The Salary Review module in Simployer One has been updated with several improvements designed to give planners and approvers the context and tools needed to make informed, consistent compensation decisions. The enhancements include the addition of employment information, a structured comments feature, and support for a multi-step approval process. These changes reduce the need to consult external systems and improve transparency throughout the review workflow.
How It Works
Employment and Compensation Information in the Review
Relevant employment and compensation details are now displayed directly within the salary review interface for each employee. This allows all users to access key context without leaving the module. Additionally, users can navigate directly to the employee's profile page from this view.
Comments
A comments feature has been introduced to support structured communication between participants at each level of the salary review workflow. Comments are scoped by role and level:
- Planner level — A planner can leave a general comment on their own review or when submitting it for approval. Their assigned approver can read these comments, leave a general comment in return, or include a comment when approving or rejecting the review. Communication at this level is between the planner and their one assigned approver only.
- Approver level — The same structure applies between the approver and the final approver. The approver can leave comments when submitting to the final approver, and the final approver can respond or comment when approving or rejecting.
- Final approvers and owners — Can read and leave comments at any level across the entire workflow.
- Owner — Can read and leave comments at any level across the entire workflow. Additionally, the owner can substitute any participant in the workflow — replacing a planner, approver, or final approver with another employee — and retains full comment access when doing so.
All comments are stored within the salary review workflow and remain visible to the relevant participants, providing a clear record for follow-up and reference.
Multi-Step Approval
The approval process now supports two levels of approval before salary adjustments are finalised. Organisations that require additional oversight can assign a second approver — for example, an HR representative — in addition to the existing approver.
The approval flow includes:
- An optional additional approver positioned between the planner and the final approver
- Clear status tracking showing where a salary review stands at each stage of the process
Instructions
Submitting a Salary Proposal with Comments
- Open the relevant salary review in the Salary Review module.
- Review the employee's employment and salary information displayed in the interface.
- Enter your salary proposal as usual.
- Add a general comment to justify the proposal before submitting.
- Submit the proposal for approval.
Reviewing and Responding to a Proposal (Approver)
- Open the salary review assigned for your approval.
- Review the proposal, including any comments submitted by the planner.
- Approve or reject the proposal.
- If rejecting, enter a rejection comment specifying the reason.
Configuring a Multi-Step Approval
- When setting up a salary review, navigate to the approval settings.
- Assign an additional approver if a second level of approval is required.
- Confirm the planner, approver, and final approver assignments.
- Save the configuration and proceed with the review.
Note: The additional approver is optional. If no second approver is assigned, the standard single-approver process applies.
Additional Details
- Employment and salary history information is read-only within the review interface and cannot be edited from this module.
- Comments are stored within the salary review workflow and are visible to all participants in the process (planners, approvers, and final approvers).
- The additional approver sits between the planner and the final approver in the approval chain.
- It is possible to edit an ongoing salary review to change the assigned planner, approver, or final approver if adjustments are needed during the process.
- Status tracking is available throughout the multi-step approval process, showing the current stage of each review.
- Data is preserved when switching between tabs within the salary review interface. Navigating away from one tab to another will not result in loss of unsaved input.
- A salary review can be edited after creation up until its start date. Once the start date has passed, the review can no longer be modified.
- The same person can be assigned as both the planner and the approver. This allows organisations where a single individual manages and approves salary reviews to complete the process without requiring a separate approver.
Approval and Rejection Table
When reviewing proposals for approval or rejection, the following information is displayed in the overview table:
- Period — The salary review period associated with the proposal.
- Budget (%) — The percentage of the budget used by the proposal.
- Salary increase (%) — The percentage increase applied to the employee's salary.
- Compensation currency — The currency in which the compensation is expressed.
- Comment — Any comment submitted by the planner alongside the proposal.
Email Notifications
Launch notifications can be sent by email to planners and approvers when a salary review is initiated. Notifications for planners and approvers can be scheduled independently, allowing them to be sent at different times.
For each notification, the following can be customised directly within the module:
- Subject — The subject line of the email.
- Message body — The content of the email sent to the recipient.
Changes to notification settings are saved automatically.
