Modified on Mon, 26 Oct at 11:46 AM

Which roles are part of a Simployer One signing process?

A Simployer One signing process can include these roles:

  • Target employee: The person the document relates to. One per signing process.
  • Signing parties: The people who must sign the document. At least one is required.
  • Reviewer: Approves the document before it is sent for signing. Optional.
  • Observers: Follow the signing process without signing. Optional, with no limit on how many you add.
  • Signing process creator: The person who creates and sends the signing process.

What is the target employee in a Simployer One signing process?

The target employee is the person the document relates to. Simployer One uses the target employee’s profile information to fill in the document variables automatically.

Each signing process can include only one target employee. When you select a target employee, Simployer One automatically adds them as a signing party in the first signing step. You can remove them as a signer if their signature isn’t needed. If you change the target employee, the new person replaces the previous one as a signer.

What are signing parties in a Simployer One signing process?

Signing parties are the people who must sign the document in a Simployer One signing process. Every signing process must have at least one signing party.

You can add several signing parties and place them in signing steps. Signing parties in the same step can sign in any order. The next step starts only when everyone in the current step has signed.

When a signing process is completed, signing parties get read-only access to the signed document.

What does a reviewer do in a Simployer One signing process?

A reviewer examines and approves the document before it is sent for signing in Simployer One. This adds an approval step before legally binding signatures are requested.

Reviewers don’t sign the final document. Adding a reviewer is optional, and each signing process can have one reviewer.

What do observers do in a Simployer One signing process?

Observers follow a Simployer One signing process without signing. Observers can:

  • View the document
  • Track signing progress
  • Receive email notifications about the signing process
  • Access the signed PDF after the signing process is completed

Observers can’t sign or approve the document. Adding observers is optional, and you can add as many as you need.

What can the creator of a Simployer One signing process do?

The signing process creator is the person who creates and sends the signing process. The creator can:

  • Follow and monitor signing progress
  • Edit the signing process while it is a draft
  • Revoke the signing process if something needs to change after it has been sent

The creator becomes the owner of the signed PDF stored in Simployer One.

Which role should I give someone who needs the signed document in Simployer One?

Only signing parties, observers and the signing process creator get access to the signed document through the signing process. Give everyone who needs the signed document one of these roles before you send the signing process.

  • Add observers for HR colleagues or managers who need to follow the signing process and access the signed document without signing it.
  • Add a reviewer when a document needs approval before it is sent for signing.
