General Questions

Q. How often does the sync run?

A. The sync can either be scheduled or manual. The scheduled sync can run daily or on specific days based on choice during integration setup. It runs on the morning of selected days.

Q. Can I manually trigger a sync?

A: Yes, Owners can manually trigger the integration from the Settings → Integrations page.

Q. What happens if I change data in both systems between syncs?

A: Simployer One is the source of truth for synced fields. When the next sync runs, data from Simployer One will overwrite any manual changes made in Tidsbanken for those fields.

Employee Management

Q. What happens when I hire a new employee?

A:

  • Add the employee to Simployer One with all required information

  • Ensure employee number is numeric only

  • Wait for the next scheduled sync, or manually trigger it

  • The employee will be created in Tidsbanken automatically

  • If their department doesn't exist in Tidsbanken, it will be created

Q. How do I handle employees with multiple employments?

A: The integration uses the employee's main active employment for:

  • Employment percentage (rate)

  • Hire date (start date)

  • Employment type (for new employees)

Only the main employment data is synced to Tidsbanken. Other employments are not included.

Q. What happens when an employee leaves?

Answer:

  • The integration does NOT automatically remove employees from Tidsbanken

  • Set the employee's end date in Simployer One

  • The "Active" status will be synced to Tidsbanken

  • You may need to manually deactivate or handle the employee in Tidsbanken based on your processes

Q. Can I have the same employee number in both systems but with different data?

Answer: No. Employee numbers are used to match employees between systems. If an employee number exists in both systems, Tidsbanken will be updated with Simployer One data on each sync.

Department & Organization

Q. What happens if I rename a department in Simployer One?

A:

  • The integration will no longer find a matching department in Tidsbanken

  • For new employees: A new department with the new name will be created in Tidsbanken

  • For existing employees: They will keep their current Tidsbanken department assignment

Best Practice: Rename the department in Tidsbanken as well to maintain the mapping.

Q. Can I merge departments in Tidsbanken?

A: Yes, you can manually manage departments in Tidsbanken. However:

  • The integration will continue to create new departments based on Simployer One department names

  • Employee department assignments will follow the mapping logic (name-based matching)

Recommendation: Align department structures in both systems for cleaner data.

Q. What is department "0" (zero)?

A: Department "0" is the default department in Tidsbanken. New employees are assigned to this department if:

  • They have no department in Simployer One, OR

  • Their Simployer One department name doesn't match any existing Tidsbanken department

You can manually reassign employees from department "0" in Tidsbanken.

Employment Types & Groups

Q. Why didn't the employment type update for an existing employee?

A: Employment groups (AnsattGruppeId) are only set when creating NEW employees. For existing employees, the employment group is preserved from Tidsbanken and not updated by the integration. This allows you to manage employment groups directly in Tidsbanken.

Q.  Can I change an employee's employment group in Tidsbanken?

A: Yes! For existing employees, you can manually change the employment group in Tidsbanken and it will NOT be overwritten by the sync.

Data & Fields

Q. Why is the employment percentage showing as whole number instead of decimal?

A: Tidsbanken requires employment percentages as whole numbers. Always enter:

  • "100" for full-time (not "1.0" or "100%")

  • "50" for half-time (not "0.5" or "50%")

  • "75" for three-quarter time

Q. Why isn't my employee's foreign national ID syncing?

A: Only Norwegian national IDs (country code "NO") are synced to Tidsbanken's Personnummer field. National IDs from other countries are not included in the sync.

Q. Can I sync salary or compensation data?

A: No. This employee data integration focuses on employee master data only. Salary and compensation data are NOT synced to Tidsbanken.

Q. What about absence data - is that synced?

Answer: <Refer this guide for Tidsbanken Absence Integration>

Q. Why are both mobile and home phone showing the same number?

A: The integration uses the employee's work phone from Simployer One for both the mobile (Mobil) and home phone (TlfPrivat) fields in Tidsbanken, as Simployer One only has one primary phone field.

Q. An employee failed to sync - will they be tried again?

A: Yes. On the next scheduled sync (or manual trigger), the integration will attempt to sync all eligible employees again, including those that previously failed. Fix the validation issue (e.g., non-numeric employee number) before the next sync.
