Tidsbanken Absence sync

Overview

This integration creates absence entries in Tidsbanken based on absences registered in

Simployer One.

How to run the absence sync

  • In Simployer One, go to Manage Time → Time Off export.

  • Run the export for the relevant period.


What is synced

  • Absences for employees that exist in Tidsbanken

  • Partial absences are supported

  • Multi-day absences are handled day-by-day within the sync period


Not supported / limitations

  • Updating or deleting absences in Tidsbanken is not supported by this integration. Changes must be done in Tidsbanken.


Requirements (must be true for an absence to be sent)

  • Employee number must be numeric in Simployer One.

  • The employee must exist in Tidsbanken.

  • The absence must align with the employee’s work schedule in Tidsbanken:

  • Missing work schedule for the day → absence is skipped

  • Absence outside scheduled hours → absence is skipped

  • Time handling: time evaluation is done in Europe/Oslo.

If “Leave type code” is used in Simployer One

  • The integration supports a defined set of Tidsbanken absence codes (see table above).

  • Leave Type Code can be set in 

  • If a leave has a Leave type code, it must match a supported Tidsbanken number for the absence to be created.

  • Customer responsibility: it is the Customer’s responsibility to ensure the Leave type code used in Simployer One is the same code used in Tidsbanken.


Partial absences (Grade percentage)

  • A partial absence is when the absence percentage is greater than 0% and less than 100%. A 100% absence is treated as a full absence.

  • The employee works the beginning of their shift and is absent for the latter part

  • Start times are recalculated by working backwards from the work schedule end time


Examples:

  • 50% absence on 8-hour day (08:00-16:00): Employee works 08:00-12:00, absent 12:00-16:00

  • 25% absence on 8-hour day (08:00-16:00): Employee works 08:00-14:00, absent 14:00-16:00

  • 75% absence on 8-hour day (08:00-16:00): Employee works 08:00-10:00, absent 10:00-16:00


Duplicate prevention

Before creating an absence, the integration checks whether an absence for the same employee, time period, and absence category already exists in Tidsbanken. If it does, it is skipped to avoid double registration.


What the Customer will see after a run

  • Created: absences successfully created in Tidsbanken

  • Skipped: absences not created due to validation rules

Common skip reasons

  • Work schedule is missing for the absence day

  • Absence is outside scheduled hours

  • Absence already exists in Tidsbanken

  • Employee number is not numeric

  • Employee not found in Tidsbanken

  • Unsupported Leave type code
