Store, organize, and manage documents on an employee’s profile.
You can store documents directly on an employee’s profile. This makes it easy to keep employee-specific documentation, such as course certificates, certifications, and other personnel documents, in one place.
By default, only the employee, the employee’s immediate manager, and users with the Document Administrator role can access the employee’s document archive. All these users can also upload documents.
Upload a document for an employee
- Use the person search to find the employee, then open the Documents tab.
- Click + at the top of the page.
- Select the correct document category and drag the file to Add file. The document automatically uses the file name, but you can change it in the Document name field.
- Save the change.
Important
You cannot upload documents in bulk.
Set an expiry date to receive an email notification before the document should be deleted. Simployer does not delete documents automatically.
The employee automatically receives a notification when a new document is uploaded to their profile.
Who can access Manager Documents?
When you add a document, you can select the system-defined document category Manager Documents.
Documents in the Manager Documents category are only available to the employee’s manager and users with the Document Administrator role. The employee cannot view documents stored in the Manager Documents category.
View documents for one or more employees
- For one employee: Go to the employee’s profile and open the Documents tab
- For multiple employees: Select Documents from the menu on the left. You can view documents across employees within the organizational levels you have access to and filter the list by category and other criteria
Organize the document list
You can sort the document list by several columns, including document category, document name, and date. Click the arrow next to a column heading to sort the list.
Use the available document actions
Click the three-dot menu to the right of a document to access the available actions:
- Preview the document
- Download the document
- Edit document information
- Delete the document
- Protect the document
- Share the document
- Start electronic signing, if the feature is enabled
